Overview

Osmind’s Credits feature allows practices to track prepaid sessions or services and automatically apply them when appointments occur. Credits help simplify billing for prepaid care while maintaining clear, accurate financial records for both patients and providers.

By using credits, practices can reduce manual billing work, support session-based payment plans, and ensure prepaid services are applied consistently across appointments.


Common Use Cases

  • A patient purchases 10 infusion sessions upfront

  • A patient prepays for a bundle of therapy sessions

  • Tracking prepaid appointment balances

  • Managing session-based or installment-style payment plans


Enabling Patient Credits

To use credits, you must enable the Patient Credit functionality in Osmind.

  1. Navigate to the Gear icon → Settings → Appointments → Payments and Credits

  2. Select Edit

  3. Turn on “Use patient credit system”

Automatic Credit Deduction (Optional)

To automatically deduct from a patient’s credit balance when appointments are marked as occurred — with auto-charging or invoicing as a backup if no credits are available — request advanced settings by emailing:

getsupport@osmind.org

Request the ability to:

“Account for credits in automatic charging for appointments marked as occurred.”


Adding Credits

To manually add credits to a patient’s account:

  1. Navigate to Patient Profile / Quick View → Overview
    (Credits section appears toward the bottom of the page)

  2. Click Add Credits

  3. Enter the following details:

    • Number of sessions / credits

    • Service type (e.g., “30-minute follow-up”)

    • Dollar amount (if applicable)

    • Notes (e.g., “Pre-paid 10-session bundle”)

  4. Click Save

Best practice: Document credit purchases in patient notes or create an invoice or receipt for recordkeeping.


Using and Tracking Credits

  • Credit balances are visible in Patient Profile → Overview

  • Providers can manually review or adjust credit balances as needed

  • If automatic deduction is enabled, credits are applied when an appointment is marked “Occurred”

  • Reports can be generated to track credit usage and remaining balances
