Reimbursement Details in Osmind

Osmind makes it straightforward to track and manage insurance claims through every step of the process. If you use an integrated clearinghouse such as Claim.MD or Office Ally with Osmind, reimbursement details will automatically update when ERA data is received. You can also manually edit reimbursement information for any claim whenever needed.
How to View Reimbursement Details
Go to Billing > CMS 1500s in your Osmind account.
From the list of claims, click the •• (more) menu next to a patient’s claim.
Select Reimbursement details from the options.
Once opened, the Reimbursement Details panel shows:
Patient name and date of birth
Provider name
Claim status (e.g., Partially Paid, Fully Paid)
Amount billed (automatically calculated from the claim)
Any insurance discount that applied
Reimbursement amount and date
Amount the patient has already paid, which you can manually adjust
If you’re using an integrated clearinghouse like Claim.MD or Office Ally, claim status and reimbursement fields will update automatically based on ERA files sent to Osmind. For this to work, ensure ERA enrollment is completed with your payer via your clearinghouse account.
Reconciling Amounts Owed by Patients
In many practices, providers invoice patients or charge the card on file to collect patient-responsibility amounts such as copays, deductibles, or denied charges.
Best practice: Create an invoice linked directly to the patient’s CMS 1500 claim. Osmind will automatically populate the patient-owed amount from the Reimbursement Details into the invoice.
To invoice a patient for their responsibility:
Go to Billing > Payments > Invoices.
For Invoice Type, choose CMS 1500.
Under Recipient, select the patient.
Choose the corresponding CMS 1500 claim and submission date.
Osmind will auto-fill the Patient Responsibility field based on the reimbursement data for that claim.
You can also write off a claim when necessary (for example, if there was a billing error). Once the invoice is created, it will appear under Payments > Invoices. Within the Reimbursement Details panel, you can add notes to remind your team that an invoice was generated for that charge.
After the invoice is paid, the patient-owed balance is resolved, and you can update the claim status to Fully Paid as part of closing out your billing workflow.

Osmind encourages practices to regularly run the CMS 1500 Report and review any outstanding or unpaid claims, using that report to reconcile balances and monitor billing performance across your organization.
